Refund & Cancellation Policy
This Refund & Cancellation Policy ("Policy") governs the terms under which customers of Nimaxiom Service Private Limited, operating as NimeDocs ("the Company," "we," "us," or "our"), may cancel their subscriptions and request refunds. By subscribing to NimeDocs, you agree to the terms set forth in this Policy. This policy is subject to and should be read in conjunction with our Terms of Service.
1. Evaluation Period
NimeDocs offers a pilot program evaluation period of the full product to allow prospective customers to evaluate the service before making a purchase decision. The duration of the evaluation period is as specified in your pilot agreement.
- No credit card required. You will not be asked to provide payment information to start an evaluation period.
- Full functionality. The evaluation period includes access to all features of the NimeDocs managed package within your Salesforce org.
- Automatic expiry. At the end of the evaluation period, access to NimeDocs features will be automatically suspended. No charges will be incurred.
- No obligation. You are under no obligation to purchase a subscription following the evaluation period. If you choose not to subscribe, you need not take any further action.
- Data preservation. Any templates or documents created during the evaluation period remain in your Salesforce org. NimeDocs does not delete customer data upon evaluation period expiry.
2. Subscription Plans & Billing
NimeDocs is offered on a subscription basis with monthly and annual billing options. Specific pricing and plan details are available on our pricing page. Key billing terms include:
- Subscriptions are billed in advance for each billing period (monthly or annually).
- All prices and refund amounts are in United States Dollars (USD) unless otherwise specified in your subscription agreement. All prices are quoted exclusive of applicable taxes (GST, VAT, sales tax) unless otherwise stated.
- The Company reserves the right to modify pricing with at least thirty (30) days' prior written notice. Price changes will take effect at the start of the next billing period following the notice.
3. Subscription Cancellation
You may cancel your NimeDocs subscription at any time, for any reason, subject to the following terms:
- Effective date: Cancellation takes effect at the end of the current billing period. You will retain full access to NimeDocs features until the end of the period for which you have already paid.
- No early termination fees. There are no penalties, fees, or charges for cancelling your subscription before the end of a contract term.
- Automatic renewal: If you do not cancel before the end of your current billing period, your subscription will automatically renew for a successive period of the same duration (monthly or annually) at the then-current price.
4. Refund Policy
4.1 Monthly Subscriptions
- 30-day satisfaction guarantee: If you are not satisfied with NimeDocs within 30 days of your first paid subscription, you may request a full refund of the amount paid for that billing period, without requiring a reason.
- After the initial 30-day period, monthly subscription fees are non-refundable. You may cancel at any time, and your access will continue through the end of the current billing month.
4.2 Annual Subscriptions
- 30-day full refund: If you cancel within 30 days of the start of your annual subscription (whether initial or renewal), you are entitled to a full refund of the annual fee paid.
- Prorated refund (31–60 days): If you cancel between 31 and 60 days from the start of your annual subscription, you are entitled to a prorated refund calculated on a monthly basis for the remaining unused full months of the subscription term.
- After 60 days: No refunds will be issued for annual subscriptions cancelled more than 60 days after the start of the annual billing period. You may continue to use NimeDocs until the end of the annual term.
4.3 Refund Calculation for Annual Plans
Prorated refunds for annual plans are calculated as follows:
Refund = Annual Fee Paid − (Monthly Equivalent Rate × Number of Full Months Elapsed)
The "Monthly Equivalent Rate" is the annual fee divided by twelve (12). Partial months are counted as full months for the purposes of this calculation.
4.4 Refund Method
Refunds will be issued to the original payment method used for the subscription purchase. Please allow up to ten (10) business days (business days are Monday through Friday, excluding public holidays in India) for the refund to be processed and reflected in your account, depending on your financial institution.
5. How to Cancel
To cancel your NimeDocs subscription, please use one of the following methods:

Email: Send a cancellation request to
legal@nimaxiom.com. Please include:
- Your company name;
- Your Salesforce Organisation ID (Org ID);
- The name and email address of the authorised account administrator;
- The reason for cancellation (optional, but helpful for us to improve our service).
- Support: Contact our support team through the in-app support channel or at legal@nimaxiom.com.
We will acknowledge your cancellation request within two (2) business days and provide written confirmation of the cancellation effective date and any applicable refund.
6. After Cancellation
Upon cancellation of your NimeDocs subscription:
- Continued access: You will retain full access to NimeDocs features until the end of your current paid billing period.
- Your data remains yours. All templates, generated documents, and configuration data created using NimeDocs remain in your Salesforce org. Because NimeDocs is 100% Salesforce-native, your data is stored as standard Salesforce records (ContentVersion, custom objects) that you own and control. We do not delete, modify, or restrict access to your data upon cancellation.
- Managed package: After the subscription expires, the NimeDocs managed package will remain installed in your org but licensed features will become inactive. You may uninstall the package at your discretion through Salesforce Setup.
- Re-subscription: You may re-subscribe to NimeDocs at any time. Your previously created templates and configurations will be available if the managed package remains installed.
7. Billing Disputes
If you believe you have been charged incorrectly or wish to dispute a charge, please contact us at legal@nimaxiom.com within thirty (30) days of the charge date. Your dispute notice should include:
- Your company name and Salesforce Org ID;
- The date and amount of the charge in question;
- A description of the basis for the dispute.
We will investigate and respond to all billing disputes within ten (10) business days of receipt. If the dispute is resolved in your favor, we will issue a refund or credit as appropriate.
Filing a billing dispute directly with your payment provider (chargeback) without first contacting us may result in delays in resolution. We encourage you to contact us first so that we can resolve the matter promptly.
8. Consumer Rights
This Policy does not affect your statutory consumer rights under applicable law. In particular:
8.1 European Union Consumers
If you are a consumer within the European Union, you have a statutory right of withdrawal under Directive 2011/83/EU on consumer rights (the "Consumer Rights Directive") and its implementing legislation in your Member State. You may withdraw from a distance contract within fourteen (14) days from the date of the contract without giving any reason and without incurring any costs other than those expressly provided for in the Directive.
To exercise your right of withdrawal, you must inform us of your decision by means of a clear statement (e.g., an email to legal@nimaxiom.com). Upon valid withdrawal, we will reimburse all payments received from you without undue delay and in any event not later than fourteen (14) days from the day on which we are informed of your decision.
Please note: If you have expressly consented to the commencement of performance of the service during the withdrawal period and acknowledged that you will lose your right of withdrawal upon full performance of the contract, the right of withdrawal may be limited in accordance with Article 16(a) of the Directive.
EU consumers are entitled to use the model withdrawal form as set out in Annex I(B) of Directive 2011/83/EU. To exercise your withdrawal right, you may send a clear statement of your decision to withdraw to legal@nimaxiom.com.
8.2 Indian Consumers
If you are a consumer in India, your rights under the Consumer Protection Act, 2019 and the Consumer Protection (E-Commerce) Rules, 2020 are preserved. These include:
- The right to be informed about the terms and conditions of the service, including refund and cancellation policies, before purchase;
- The right to seek redress against unfair trade practices or deficiency in service;
- The right to file complaints with the appropriate Consumer Disputes Redressal Commission (District, State, or National) under the Act;
- The right to receive a refund for deficiency in service as determined by the applicable Consumer Disputes Redressal Commission.
8.3 Other Jurisdictions
Consumers in other jurisdictions may have additional rights under their local consumer protection legislation. Nothing in this Policy is intended to limit or exclude any statutory rights that cannot be lawfully limited or excluded. Where a provision of this Policy conflicts with mandatory consumer protection law, the mandatory law shall prevail.
9. Changes to This Policy
We reserve the right to modify this Policy at any time. If we make material changes, we will provide at least thirty (30) days' prior written notice by email to the account administrator address on file and/or by posting a notice on our website. Changes will not apply retroactively to subscriptions already in effect at the time of the change, unless required by law.
Your continued use of NimeDocs after the effective date of any changes constitutes your acceptance of the revised Policy. If you do not agree with the changes, you may cancel your subscription in accordance with Section 5 above.
10. Governing Law
This Policy shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with this Policy shall be subject to the exclusive jurisdiction of the courts in Jaipur, Rajasthan, India, except where mandatory consumer protection legislation provides for jurisdiction in the consumer's place of residence.
